Job Description
We are seeking an Notion Automation Specialist to design, build, and maintain our AI-native business operating system on-site.
In this role, you will elevate our operations beyond simple automation, architecting an agentic infrastructure that connects Notion (our central source of truth) with voice agents, AI researchers, custom code scripts, and multi-step automated workflows. Working directly with our team and clients on-site, you will bridge operations, low-code development, and cutting-edge AI to map complex business processes and automate repetitive human tasks across every department in the business.
Key Responsibilities:
- Design, maintain, and optimize enterprise-grade, highly relational Notion databases using advanced formulas, rollups, protocols, and database permissions.
- Meet directly with internal stakeholders and external clients to analyze operational bottlenecks, map out complex end-to-end processes, and visually architect proposed automation blueprints on Whimsical (or Miro) before implementation.
- Build and maintain scalable backend automations using n8n, Make, and Zapier to link Notion seamlessly with our CRM, communication channels, and internal tools.
- Set up, test, and maintain autonomous AI voice agents (such as Bland AI, Retell AI, or Vapi) and video generation pipelines (such as HeyGen or Tavus) that automatically capture and sync structured customer data back to Notion.
- Utilize agentic tools like Claude Code and Claude Cowork to handle file transformation, code generation, and complex local or cloud system integrations.
- Deploy AI search agents (such as Perplexity API, Tavily, or Exa) to automate web research, prospect enrichment, and market intelligence logging.
- Audit automations for rate limits, API updates, data integrity, and error handling to ensure maximum operational uptime.

Qualifications
- 3+ years in Business Operations, Systems Engineering, Solution Architecture, or Automation Consultancy.
- Proven ability and confidence to join client-facing discovery meetings, gather operational requirements, and clearly present visual workflows using Whimsical to both technical and non-technical stakeholders.
- Demonstrated portfolio showing complex, production-grade automations (such as custom n8n flows, voice agent call-handling setups, advanced Notion database ecosystems, and clear Whimsical process diagrams).
- Ability to work full-time on-site alongside leadership and clients to map, optimize, and execute operational workflows.
- Deep understanding of API authentication (OAuth2, API keys, Webhook signatures) and cloud management (such as Docker or DigitalOcean for self-hosting n8n).
- Strong documentation habits, with mandatory mastery of mapping complex processes using Whimsical or Miro before building workflows.
