Job Description

We are seeking a methodical, detail-driven Real Estate Transaction Coordinator to manage listings and sales files from initial contract/listing creation through to closing. In this role, you will serve as the administrative anchor for compliance and legal documentation, managing the flow of deal sheets, listing statuses, and executed contracts. The ideal candidate possesses a deep understanding of contract timelines, real estate compliance, MLS rules, and can flawlessly interface with attorneys, brokerages, and field agents to ensure smooth, legally compliant transactions.

Key Responsibilities
  • Draft, revise, and finalize transaction Deal Sheets and Offer Sheets with absolute financial accuracy (including purchase price, down payments, and exact commission split percentages).
  • Disseminate approved deal sheets and executed contracts to buyers, sellers, respective attorneys, and title companies.
  • Formulate and insert custom legal clauses into transaction records regarding specific brokerage commission rates and payment parameters upon title transfer.
  • Utilize electronic signature platforms (Authentisign) to route, track, and secure signatures for Letters of Intent (LOIs), listing extensions, and disclosures.
  • Input and manage property listing data on the MLS and LoopNet; coordinate price reductions, status changes (Active, Pending, Under Contract, Sold, Rented), and open house schedules.
  • Research and verify municipal data, calculating precise school, county, and city tax obligations through public records websites and phone verifications.
  • Organize and audit listing assets, ensuring appropriate listing agreements, interior/exterior media files, and lead-based paint disclosures are attached to the secure transaction portal.
  • Prepare and request accurate commission invoices from internal administration or co-brokerages to ensure timely funding at closing.
  • Compile and deliver regular pipeline updates, compiling market comps, and structuring property valuations (via tools like MoxiWorks) for principal review.
Qualifications & Requirements
  • Exceptional attention to detail; able to spot financial discrepancies on deal sheets, tax mismatches, or missing signatures on contracts.
  • Confident and articulate communication style when dealing with attorneys, listing agents, and administrative staff.
  • Ability to juggle multiple closing timelines and urgent paperwork demands simultaneously.
  • Proficiency in transaction lifecycle management and digital execution via Authentisign and ShowingTime.
  • Technical expertise navigating regional MLS platforms, LoopNet, and Zillow for listing management.
  • Hands-on experience with property valuation and client relationship management using MoxiWorks and Cloze CRM.
  • Competency in enterprise communication and secure document storage through Microsoft Outlook and Dropbox.
