Installation & Formbay Support Administrator

Job Description

We are seeking an Installation & Formbay Support Administrator to join our Operations team. This role is critical in supporting residential installations by managing Formbay and Bridgeselect submissions, ensuring compliance, maintaining accurate records, and providing excellent customer and internal stakeholder support.

With growing installation volumes, this position will play a key role in improving turnaround times, maintaining compliance standards, and ensuring a smooth customer experience from contract through to practical completion.

Key Responsibilities:

Administrative & Operations Support

  • Support the Operations Manager with administrative requirements and day-to-day operational tasks.
  • Maintain accurate and comprehensive document management systems (house files).
  • Ensure customer submissions to the Western Australian Retailer and Network Operator are completed within a 48-hour SLA.
  • Monitor submissions and escalate any rejected or flagged items to the Operations Manager.
  • Communicate with Retailers and Network Operators to resolve submission issues.
  • Monitor the Western Power email inbox and escalate matters as required.
  • Respond to customer and internal team queries regarding installation status.
  • Provide post-installation support, including contacting customers to confirm satisfaction.

Formbay & Bridgeselect Support

  • Complete Formbay and Bridgeselect submission forms accurately and in a timely manner.
  • Liaise with installers and customers to obtain required documentation.
  • Track jobs through the pipeline to ensure timely progression and claim readiness.

CRM & Pipeline Management

  • Ensure CRM systems (HubSpot Residential Sales and Installation Pipeline) are accurate and up to date.
  • Ensure critical fields (e.g. NMI) are completed correctly.
  • Support smooth progression of deals through the Residential Sales and Installation pipelines through to practical completion.

Formbay Compliance & Monitoring

  • Ensure NOC and ESC documents are correctly attached and compliant.
  • Conduct daily audits and follow up with installers where issues prevent submission.
  • Investigate duplicate or multiple jobs and coordinate with Formbay support to resolve
    them.
  • Identify missing, incorrect, or incomplete submissions and follow up outstanding jobs.
  • Log into E-Notice daily to ensure NOCs are drafted and completed on time.
  • Liaise with Formbay support to resolve system or technical submission errors.
  • Maintain visibility of all pending Formbay jobs to ensure timely completion.
Qualifications & Requirements:
  • Strong administrative and organizational skills with exceptional attention to detail.
  • Experience handling documentation, submissions, or compliance-based workflows.
  • The ability to manage multiple priorities while meeting tight deadlines and SLAs.
  • Clear and confident written and verbal communication skills.
  • Experience working with CRM systems and digital workflows (HubSpot desirable but not essential).
  • A proactive mindset with a strong sense of accountability and ownership.
  • Experience working in the Australian Solar and Battery Industry (Highly desired, but not essential).
